Do I need to tell the University that I want to leave my course?

Yes. There are financial implications to leaving your course part of the way through the academic year, and it is important that you understand these. You also need to tell us that you are leaving the University by completing a form – don’t just stop attending classes. If you don’t tell us you’re leaving, you may end up owing more fees than you were expecting.

Who should I speak to about my withdrawal?

You should speak to your Course Leader or the Year 0 Pathways Leader (if you’re on an undergraduate course) or the Course Leader Taught Postgraduate (if you’re on a taught postgraduate course) in the first instance. They will want to talk to you about your reasons for wanting to leave, and may be able to suggest ways in which we can support you in continuing your studies here, for example through intermission (taking a break from your studies) or by transferring to another course at NUA.

You should also speak to a member of staff in the Student Enquiries Office or the Academic Support Office for advice on the financial implications of your withdrawal.

What are the financial implications of withdrawing from my course?

If you leave your course part of the way through the academic year, there are financial implications depending on when you inform us of your withdrawal.

We work out the tuition fees you owe according to the date we receive your completed copy of this form. It is important therefore that you contact your Course Leader or MA Leader as soon as you decide to withdraw, as not doing so could result in a higher fee liability than you were anticipating.

Undergraduate Courses

If you are a new entrant to the University in September 2024 and we receive your withdrawal form by 4 October 2024, there will be no fees due.  Any fees already paid by you will be refunded in full.

If your tuition fees are paid by your student loan provider:

  • Withdrawal on or before 6 January 2025, 25% of the full year’s fees will be payable;
  • Withdrawal between 7 January 2025 and 28 April 2025, 50% of the full year’s fees will be payable;
  • Withdrawal on or after 28 April 2025, the full year’s fees will be payable.

All other undergraduate students:

  • Withdrawal on or before 6 January 2025, one third of the full year’s fees will be payable;
  • Withdrawal between 7 January 2025 and 28 April 2025, two thirds of the full year’s fees will be payable;
  • Withdrawal on or after 28 April 2025, the full year’s fees will be payable.
  • Students who withdraw from the University will lose any discounts given against tuition fees, and will have their fees recalculated accordingly.

Leaving your course early may affect your entitlement to student finance if you return to higher education in the future and you may have to repay some of your maintenance loan or grant depending on the date we withdraw you.  If applicable, you should notify Student Finance England (SFE) or your Local Authority (whichever you originally applied to) of your intention to withdraw.

If you receive a Maintenance Loan or Grant payment from SFE after submitting your withdrawal form, we strongly advise you not to spend this money until you have sought advice directly from SFE as it is likely you will be asked to repay this money once SFE has received notification of your withdrawal from us.

Postgraduate Master of Architecture Courses

If your postgraduate Master of Architecture course starts in September 2024 and we receive your withdrawal form by 11 October 2024, there will be no fees due.  Any fees already paid by you will be refunded in full.

Postgraduate MA Courses

If your postgraduate MA course starts in September 2023 and we receive your withdrawal form by 11 October 2024, there will be no fees due.  Any fees already paid by you will be refunded in full.

  • Withdrawal on or before 27 January 2025: One third of the full year’s fees will be payable;
  • Withdrawal between 28 January 2025 and 2 June 2025: Two thirds of the full year’s fee will be payable;
  • Withdrawal on or after 2 June 2025: The full year’s fees will be payable.

For all courses

Students who withdraw from the University will lose any discounts given against tuition fees, and will have their fees recalculated accordingly.

Note for students who pay their fees with a US Federal Aid loan

If you don’t complete a full year of study, a different refund procedure is in place. For more information, contact international@norwichuni.ac.uk and ask for a copy of ‘Norwich University of the Arts – Return of Title IV Funds (R2T4) Policy’.

Should I contact my student loan provider to let them know I am leaving?

Yes. Leaving your course early may affect your entitlement to Student Finance if you return to higher education in the future and you may have to repay some of your Maintenance Loan or Grant depending on the date we withdraw you. We recommend therefore that you contact Student Finance England or your Local Authority (whichever you originally applied to) to notify them of your intention to withdraw and to discuss any funds you may be asked to repay.

What do I do once I have decided to withdraw?

Once you have decided to withdraw you will need to complete a Student Withdrawal Form and make an appointment to meet with your Course Leader, the Year 0 Pathways Leader or the Course Leader Taught Postgraduate as appropriate. They will need to sign your form to confirm receipt of your formal notification of withdrawal and to record your date of withdrawal, so please make sure you take your form with you when you meet with them. Your date of withdrawal will be used to calculate your tuition fee liability.

Once your form has been fully completed you should return it to the Student Enquiries Office, Room 25, St Georges Building.

You should not stop attending until you have discussed your withdrawal with a member of staff on your course. If your circumstances are such that you are required to leave before you have been able to meet with your Course Leader, the Year 0 Pathways Leader or the Course Leader Taught Postgraduate to complete your form, we will accept an electronically submitted form on condition that you have discussed your reasons for withdrawal with them. Please contact your course administrator in this instance.

What is the process if I am transferring my studies to another University/College?

You will still need to complete the Student Withdrawal Form and ask your Course Leader, the Year 0 Pathways Leader or the Course Leader Taught Postgraduate as appropriate to sign it. The form provides a section for you to complete the details of your new course. Completing this section will allow us to notify Student Finance England of your transfer which will ensure that any financial support you are receiving through SFE will remain in place.

Please note that the financial implications described above will still apply to you.

What happens once I have submitted my completed Student Withdrawal Form?

Once we have received your fully completed form we will aim to complete your withdrawal within 5 working days (subject to us having received all necessary information). An assessment of your fee liability will be carried out in accordance with the University’s Student Tuition Fees Payment Policy. When we write to you to confirm your withdrawal from your studies we will also let you know what your tuition fee liability is. Following this you will be sent an invoice for any amount you are personally liable for if applicable. It is very important that you let us know if your contact details have changed as there are consequences to not paying your fees.

If applicable we will notify Student Finance England of your withdrawal or transfer via their online ‘Change of Circumstance’ process.

Please be aware that there may be a delay to processing your withdrawal if your form is received during a vacation period or over a busy period in the University’s calendar.

If you receive a Maintenance Loan or Grant payment from SFE after having submitted your withdrawal form, we strongly advise you not to spend this money until you have sought advice directly from SFE as it is likely you will be asked to repay this money once SFE has received notification of your withdrawal from us.

I am currently living in University student accommodation. Who should I contact to advise that I’m leaving?

You should notify the Student Support Accommodation Officer, via accommodation@norwichuni.ac.uk or on ext 6481, of your withdrawal. You should also refer to your Licence Agreement which provides information on cancelling this agreement.

Will I receive credit for any units I have completed?

You will receive credit for all unit assessments successfully completed and passed. We will be able to provide you with a transcript of your results once they have been confirmed by the relevant Assessment Board which meets at the end of each academic year. If you achieved enough credit during your studies at the University to become eligible for an interim award, this will be confirmed by the relevant Award Board and you will be sent an award certificate and a transcript of your results.

I am currently experiencing difficulties which are making it difficult for me to continue with my studies. Is withdrawal my only option?

Depending on your circumstances it may be possible for you to apply instead for a period of intermission (an agreed break from studies). Intermission is usually for a period of up to one year and can be an effective solution when you anticipate that any issues will be resolved within a year, meaning that you can then return to study at an appropriate date. If you would like to consider intermission then please speak to the Academic Support Office, your Course Leader, the Year 0 Pathways Leader or the Course Leader Taught Postgraduate, or to a member of staff in the Student Enquiries Office.

If I withdraw from my studies here can I return to complete my course at a later date?

If you withdraw from your studies and want to return at a later date you will need to submit an application through the Universities and Colleges Admissions Service (UCAS). Your application would be subject to the published entry requirements in place at the time you make your application and standard admissions and interview processes. Unfortunately we cannot guarantee that you would be offered a place based on any previous studies with us.
